Spring Bank Cottage Hayfield – Booking Terms and Conditions

Please take the time to read these Booking Terms and Conditions, which describe clearly booking policies and procedures and to clarify the contractual relationship between you and ourselves.

1. Booking confirmation and payment

1.1. To confirm a booking you need to complete the booking form.  By confirming the booking, you are acknowledging that you have read and agree with the T&Cs.

1.2. The Client who completes the Booking Form and agrees the T&Cs does soon behalf of all members of the party and binds them jointly and severally to the terms therein.

1.3. At the time of booking we require a deposit 50% of the total cost of the rental, the balance is due 3 weeks before the start of your holiday. If the booking confirmation date is within 3 weeks of the arrival date the full rental is due.

1.4. Upon receipt of payment we will acknowledge by email and send directions for the house and the practical information you will need.

1.5. Payment to confirm a booking is possible by electronic bank transfer or via paypal.  In the case of paypal payment an additional fee applies.

2. Payment and refund of the Cautionary Deposit

2.1. A Cautionary Deposit of £200 is required to cover costs resulting from the action or inaction of the Client or a member of their party such as (but not limited to): the property being left in an unreasonable state, loss or non-return of keys, neglect or damage to the property, damage or loss of contents and/or, any extra or excessive cleaning costs required.

2.3. Payment of the Cautionary Deposit is due a minimum of one week prior to your arrival date.

2.4. Access to Spring Bank Cottage will be denied if full payment of the Cautionary Deposit has not been made in cleared funds and the booking will be treated as a cancellation, no refund will be due or issued.

2.5. Cautionary Deposits may be made by electronic bank transfer or by paypal (transaction charges will be paid by the client)

2.6 The cautionary deposit will be refunded within 7 days of your departure from the property less any costs incurred.

2.7. In the event of damages attributed to the Client or a member of their party during their stay we shall notify this to the Client as quickly as reasonably possible together with any evidence. The cost of any remedial action shall be deducted from the Cautionary Deposit and the balance refunded to the Client.

2.8. In the event that the cost of rectification for losses or damage caused by the Client or a member of their party exceeds the Cautionary Deposit held, we shall notify the Client of any additional amount owing. We reserve the right to pursue recovery of any additional cost over and above the Cautionary Deposit and for this reason adequate personal liability insurance is strongly recommended.

2.9 Where the cautionary deposit is paid by bank transfer it shall be refunded by bank transfer. To facilitate this, the Client must provide us with their correct bank account details.

2.10  In the case of deduction from the Cautionary deposit and when we are unable to contact the Client to advise of any damages that may have occurred, we will not be held accountable for any bank charges or other losses incurred by the Client.  In such instances we cannot guarantee the balance of these funds will be refunded within 14 days.

3. Booking Cancellation Policy

3.1 Cancellation Charges are as follows:

3.1.125% of the total holiday cost: Where cancellation notice is received after the deposit has been paid and no less than 3 weeks prior to the booking start date, then the deposit is forfeit.

3.1.2. 100% of the total holiday cost: Where cancellation notice is received after the balance is due and/or been paid and less than 3 weeks prior to the booking start date then the Client shall be liable for the full cost of the booking.

3.1.3 Wherever possible, we will actively re-sell cancelled dates. If successful, we will return to you any monies paid less the difference between the cost of the cancelled booking and the replacement booking.

3.2. Booking Cancellation

3.2.1. It is extremely unlikely that we would have to cancel a confirmed booking. If however, for reasons beyond our reasonable control, the property is no longer available we reserve the right to cancel a booking. In this event, we will inform the Client as soon as possible and all monies paid by the Client will be refunded.

4. Arrival and Departure Times

4.1The Client is requested to adhere to the arrival (1600hrs) and departure (1000hrs) times. Changes to these times

can be requested prior to arrival but are subject to our agreement.
